Assists the organization in accomplishing necessary and important day-to-day tasks 

*Background check required

Goals:

  • Writing and distribution of monthly thank you letters

  • Organization of files

  • Facility upkeep 

  • Running errands - post office, shopping for supplies, etc.

  • Distributing flyers, outreach 

  • Packaging and shipping packages, letters, products 

  • Event Assistant - setting up table, handing out flyers, handling transactions, etc

Learning Objectives:

  • Attention to detail.

  • Desire to be proactive and create a positive experience for others.

 

2nd Level

Assists the organization in accomplishing necessary and important day-to-day tasks

Goals:

  • Data entry 

  • Filing

  • Record keeping

  • Running errands - bank, post office, meeting with volunteers 

  • Event Assistant - speaking events, answering questions, running slide show

  • Phone calls - fundraising, returning inquiries, etc. 

  • Writing and distribution of monthly thank you letters

  • Organization

  • Facility upkeep 

  • Distributing flyers, outreach 

  • Packaging and shipping packages, letters, products 

  • Contact Database research and update

Once a volunteer makes it through the initial two levels of volunteering on the administrative team, he or she will have the opportunity, based on their talents and skill sets, may move up to becoming a volunteer coordinator, administrative assistant, or moving to a different area such as freedom bag manager, online shop manager, and/or bookkeeper.

Administrative Assistant

Assists the organization in providing support to its administrative team in a variety of ways

Goals: 

  • Manages, responds, and forwards necessary emails sent to the general LTP email account - info@thelittletreeproject.org

  • Providing real-time scheduling support by booking appointments and preventing conflicts.

  • Screening phone calls and routing callers to the appropriate party.

  • Using computers to generate reports, transcribe minutes from meetings, create presentations, and conduct research.

  • Greet and assist visitors.

  • Maintain polite and professional communication via phone, e-mail, and mail.

  • Anticipate the needs of others in order to ensure their seamless and positive experience.

Learning Objectives: 

  • Excellent computer skills, especially typing.

  • Attention to detail.

  • Desire to be proactive and create a positive experience for others.

  • Team player.

  • Teachable.

Volunteer Coordinator

Assists the organization in recruiting and managing volunteers as well as allocating responsibilities and inspiring and retaining the best people.

*Background check required

Goals:

  • Source and recruit volunteers through various techniques (databases, e-mail, social media, universities, career centers, schools, churches, etc.)

  • Collect information on availabilities and skills through applications, interviews, and personality assessments.

  • Conduct volunteer orientations and background checks.

  • Manage the LTP volunteer email account (volunteer@thelittletreeproject.org)

  • Manage the LTP volunteer website page, posting about volunteer opportunities when necessary and communicating with the website manager, arranges for appropriate training when needed (for example, a case manager volunteer will need different training than a social media volunteer) 

  • Produce schedules for volunteer opportunities as well as everyday activities 

  • Assign responsibilities to the right people for special events

  • Coordinate teams of volunteers for large-scale actions

  • Communicate frequently with volunteers to ensure they are satisfied and well-placed

  • Disseminate information for upcoming actions and events

  • Keep detailed records of volunteers’ information, assignments, and contributions

  • Write and send monthly thank-you letters to volunteers who contributed that month

  • Εnsures the purpose of the organization and its actions is clearly communicated

  • Recognizes and assigns other coordinators/managers over other volunteer areas 

Learning Objectives:

  • Natural leader

  • Willing to take direction and give instructions

  • Experience in recruiting through various channels

  • Working knowledge of databases and Google Office is appreciated (especially Google Sheets and Salesforce)

  • Able to communicate effectively with diverse people
